Web Conference Host Instructions
How to setup a Meeting ?
Sign up or Login to 16Frames.
Click on Video Conference.
Here all the meetings that you have set up are listed. From here You can :
Join a meeting.
Edit an existing meeting.
Cancel an existing meeting.
Click on the
Button to register a new meeting.
In the meeting details page , provide all the necessary details.
Need to remember :
Meeting Time is in GMT. Please keep this in mind while giving the meeting time. To convert your local time to GMT,

Meeting Remainders are sent to you and all the meeting participants and viewers , starting from three days prior to the meeting upto one hour before the meeting.
Please select an appropriate Video Quality according to the internet speeds at your place and at the
remaining participants location. Selection of a quality which is higher than what your internet speed
supports leads to inferior quality video. To know more about video quality

After giving the meeting details you are redirected to the Billing page where you are required to provide your credit card details. Please note that 16Frames does not charge your card before the meeting. You are charged only after the meeting has ended , based on your usage.
After your card has been validated you are taken to the meeting participant page where you add the details of the meeting participants. Make sure to give the correct Email address as this is where the meeting invitation is sent along with the Meeting Credentials. Without the proper credentials it is not possible to participate in the Meeting.
You can choose to add the participants at this stage or later. If you wish to add the participants later , follow the steps below :
Login to your account
Click on Video Conference
Click on Participants
Select the Meeting to which you would like to add the participants.
Proceed to add the participants giving the correct details.
The process to add Viewers to your meeting is exactly same as that of adding the participants. After logging
in to your account and clicking on VC , Click on viewers to add the viewers to a meeting. Note that only the Participants can interact in meeting with you by transmitting their video and audio. Viewers are limited to only viewing the Meeting without any interaction with the meeting members. Also note that while there is a limit on the number of participants to 5, there is virtually no limit on the number of viewers as long as your resources permit.

to know the approximate bill your meeting might generate. Give all the details and click calculate. The amount is displayed at the bottom. Note that this is the maximum amount that can be expected based on the data you have given. The actual amount might vary depending on actual usage. This amount is indicative only.
This is how your meeting would look when you start it. The first player on the top left is your broadcaster where you send your video and audio. The remaining Five small players are for your participants. You can add upto a maximum of 5 participants.
The big player in the middle is for maximizing the video of a participant one at a time. Click on the
View in Big Player
link under each player to watch the video on the big player. You can
Switch Back
if you want to revert back to the small player.
Click on the
button to end a Meeting.
Note :
This button is visible only to the meeting host. Only a host can end a meeting.
To start sending your audio and video click on connect on your player. A list of cameras connected to your computer are displayed.
Select the Camera you would like to use from the list and click it.
IMP NOTE :
Wait till the image from that camera is displayed and then click on Start Broadcast. You are LIVE now !! The other participants can now view your audio and video. As soon as the remaining participants follow this procedure , You too can view their audio and video in their respective players.
After you click on
you are taken to the Payment page where the actual payment is done with the CC details you provided earlier.
All the required details regarding the meeting are shown in this page .

which is at the bottom of the page to proceed with the payment.
Please preserve the receipt that you get for any future reference. A copy is sent to your mail address.
FAQs:
Do I need to download any software?
No. The solution is completely Browser based. All you need is an Internet connection and a web browser along with a web cam to participate.
What is the difference between a participant and a user? Why is there a limit on the number of participants while viewers can be unlimited?
The participants can interact with each other by sending Audio and video mutually. The viewers do not have this facility. They are only limited to viewing the meeting. They cannot interact with the participants. Since every participant has a screen(player) to broadcast the video , there is a limit on the participants.
What hardware do I need to participate in a meeting?
If you are a participant You need a Camera, microphone and speakers or Headphones.
If you are a Viewer , all you need is a set of speakers or headphones.
Do the participants and the viewers need to have an account with 16Frames?
No! Only the host needs to have an account with us. All the participants and viewers can join directly using their credentials.
Do I need to subscribe to any Package to start a meeting?
Absolutely No!! You can setup meetings on the fly and pay as you use. You will be only charged for what you use and that too after the meeting has been completed. All you need initially is an account with us.
How Do I join a Meeting ?
There are two methods to joining a Meeting :
Directly from the Email Invitation – When a meeting is set up by the host, you get an invitation to your mail regarding the meeting details and your meeting credentials. There is also a link in the Email to join the meeting. Click on this link at the meeting time to join the meeting.

Your meeting invitation contains your meeting credentials (Username and Password). Use these in the above page to Login to the meeting.
IMP NOTE :
In both the above cases first remember to disable the pop-up blocker else you need to follow the steps again.
What are the Payment options?
You can pay using Credit Card or Pay pal.

Do I need to Pay the amount before the meeting?
Absolutely No. Though the CC details are collected before hand, your card is not yet charged. Only after the meeting has been ended is your CC charged.
Why do you collect CC details if you are not charging?
Your CC details are required for authorization. They are necessary to check the validation of your CC.
What is the limit on the number of Participants and viewers?
The number of participants are limited to 5 excluding the Meeting host. The number of viewers is unlimited.
Even after I click connect and select the camera , I cannot see any image. What do I do?
Your computer might not be allowing Flash Player to access the camera. Follow the steps below :
Right Click on the big player in the middle.
Click on Settings . . . in the resulting menu
Click the second Image from the left on the bottom.
This brings up the privacy settings of the Flash Player.
If your Computer is not allowing 16Frames to access the Computer and Microphone, the Deny option is checked. Click on the Allow option.
Refresh the Page and try again.
The other participants are not able to hear my voice.
The Flash Player might not have detected your Microphone.Follow the steps below.
Right Click on the big player in the middle.
Click on Settings . . . in the resulting menu
Click the Mike Image (Fourth from left) on the bottom.
This brings up the Microphone Settings of the Flash Player.
Select the appropriate Microphone from the list.
Move the slider under the Record Volume to the middle and select the Reduce Echo box.
I have selected the Camera. I can see my image but the other participants cannot. Why?
After you see the image, the Connect button becomes Disconnect meaning that you are connected to the server. Now Click Start Broadcast to send your image. Now the participants can view your image.
What is the Internet speed that I require to watch the meeting without any problem?
It depends on the number of participants and the quality that the meeting is set for. If you are watching a meeting set for 6 participants at the highest quality , You might require around 800Kbps Internet Connection.

I dont like the quality of the picture, Can I change it?
Yes you can. While you are in the meeting , Login to your account and click the Edit Meeting. Here you can change the quality.
NOTE : The participants need to refresh the Meeting page to be able to view the new quality.
